1. Who we are and what this agreement covers
These Terms of Service ("Terms") govern your use of Rentvic (the "Platform"), operated by Rentvic Platforms Inc. ("Rentvic," "we," "us," or "our"), a company incorporated under the laws of British Columbia and based in Victoria, British Columbia, Canada. By creating an account or using the Platform, you agree to these Terms. If you do not agree, do not use the Platform.
Rentvic is a listings and connection platform. We are not a party to any lease, tenancy agreement, or rental transaction between a landlord and a tenant. We do not manage properties, collect rent, or act as a property manager, real estate broker, or landlord.
2. Eligibility and accounts
- You must be at least the age of majority in your province — 19 in British Columbia, 18 elsewhere in Canada — to create an account.
- You must provide accurate, current information during registration and keep it up to date.
- You are responsible for all activity under your account and for keeping your login credentials confidential.
- Accounts are personal. You may hold both a tenant and a landlord role, but you may not create multiple accounts to evade a suspension or ban.
- We verify your email address when you sign up. We may in future require additional verification — for example phone verification, or identity verification for landlords through a third-party provider — before certain features are enabled. We will tell you before any such requirement applies to you.
3. Roles on the Platform
Tenants may build a rental profile, browse and search listings, save searches and listings, apply to listings individually or as a tenant group, RSVP to open houses, create a roommate profile and express interest in other roommate profiles, and message landlords.
Landlords may create and publish listings, review and respond to applications, schedule and run open houses, and message applicants. Landlords represent that they have the legal right to offer the listed unit for rent, as owner, authorized property manager, or under other lawful authority.
4. Listings and content accuracy
- Landlords are solely responsible for the accuracy, legality, and completeness of their listings, including price, availability, and unit details.
- We do not verify listing accuracy before publication and do not guarantee that any listing is currently available, accurately priced, or as described.
- Tenants are responsible for independently verifying listing details, viewing units, and satisfying themselves before entering any agreement with a landlord.
- We may remove, suspend, or edit any listing that we reasonably believe violates these Terms, applicable law, or our Content Policy, without prior notice.
5. Fair housing and prohibited conduct
Rentvic operates in British Columbia and is subject to the BC Human Rights Code, which prohibits discrimination in tenancy on protected grounds including race, colour, ancestry, place of origin, religion, marital status, family status, physical or mental disability, sex, sexual orientation, gender identity or expression, age, lawful source of income, and other grounds set out in the Code.
You agree not to:
- Post, request, or act on any listing, filter, preference, or communication that discriminates against a protected group, or that would require another user to disclose or filter on a protected characteristic in a way not permitted by law.
- Post false, misleading, or fraudulent listings, applications, or profile information.
- Use the Platform for any unlawful purpose, including fraud, harassment, or circumventing safety features.
- Scrape, reverse-engineer, or use automated means to access the Platform beyond normal use, or to extract data in bulk.
- Interfere with the security or normal operation of the Platform.
- Impersonate another person or misrepresent your affiliation with any person or entity.
- Contact another user through the Platform for any purpose other than the one the Platform provides — a tenancy, a roommate arrangement, or an application.
Our Content Policy sets out in plain language what is and is not acceptable on the Platform and how we enforce it. It forms part of these Terms.
We may investigate suspected violations and take action ranging from content removal to account suspension or termination, and we may report unlawful conduct to appropriate authorities.
6. Applications, messaging, and tenant groups
- Submitting an application does not guarantee a tenancy. Landlords choose whether and with whom to proceed, subject to applicable fair-housing law.
- Messages sent through the Platform are stored and cannot be edited or deleted by the sender once sent. They may be retained and, where a report is made, reviewed for safety, moderation, and legal-compliance purposes as described in our Privacy Policy.
- If you form or join a tenant group, you authorize the information you provide to be shared with other group members. Where your group applies to a listing, each member must separately agree before that member's details are shared with the landlord.
7. Fees and payments
The Platform is currently free to use. Rentvic does not charge tenants or landlords any fee, and does not process rent payments between tenants and landlords. Any rent, deposit, or fee arrangement is solely between the tenant and the landlord.
If we introduce paid features, we will publish the fee structure, billing terms, and refund policy, update these Terms, and ask you to accept the updated version before you use any paid feature. No charge will ever be made to you without your prior agreement.
8. Reports and moderation
We act on violations of these Terms and our Content Policy that we become aware of, however we become aware of them. Where reporting tools are available in the Platform, you may use them to bring content or conduct to our attention; you may also contact us at legal@rentvic.ca.
We may act on reports at our discretion, including hiding content pending review, issuing warnings, suspending accounts, or removing listings. Where we take action against your account or your content, we will tell you what action was taken, which rule it was taken under, and how to respond. We are not obligated to disclose to a reporting party what action, if any, was taken in response to their report.
9. Third-party services
The Platform relies on third-party services to operate:
- Supabase — database, authentication, and file storage infrastructure
- Vercel — application hosting
- Mapbox — map display and address geocoding
- Resend — transactional email delivery
Your use of the Platform may also be subject to these providers' own terms and privacy policies. We are not responsible for the acts or omissions of third-party providers.
We do not currently use a payment processor, identity-verification provider, analytics service, or error-monitoring service. If we introduce one, we will update these Terms and our Privacy Policy and ask you to accept the updated versions.
10. Intellectual property and content license
- Rentvic's branding, logo, design, and platform software are owned by Rentvic Platforms Inc. and may not be copied or used without permission.
- You retain ownership of content you upload — listing photos, profile photos, descriptions, messages. By uploading content, you grant Rentvic a non-exclusive, worldwide, royalty-free license to host, display, reproduce, and distribute that content solely for the purpose of operating and promoting the Platform. This license ends when you remove the content, except where it has already been shared with another user, and except for copies retained as described in our Privacy Policy.
- You represent that you have the right to upload any content you submit and that it does not infringe any third party's rights.
11. Disclaimers
THE PLATFORM IS PROVIDED "AS IS" AND "AS AVAILABLE." TO THE MAXIMUM EXTENT PERMITTED BY LAW, RENTVIC DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT GUARANTEE THE ACCURACY OF LISTINGS, THE CONDUCT OF USERS, OR THAT ANY TENANCY WILL RESULT FROM USE OF THE PLATFORM.
Nothing in this section limits any warranty or condition that cannot be excluded under applicable law, including the Business Practices and Consumer Protection Act (British Columbia).
12. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, RENTVIC AND ITS DIRECTORS, OFFICERS, EMPLOYEES, AND CONTRACTORS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, OR GOODWILL, ARISING FROM YOUR USE OF THE PLATFORM. OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATING TO THESE TERMS WILL NOT EXCEED ONE HUNDRED CANADIAN DOLLARS (CAD $100).
Nothing in these Terms excludes or limits our liability for fraud or fraudulent misrepresentation, for death or personal injury caused by our negligence, or for any other liability that cannot be excluded or limited under applicable law, including under the Business Practices and Consumer Protection Act (British Columbia). If any part of this section is found unenforceable, the remainder continues to apply.
13. Indemnification
You agree to indemnify and hold harmless Rentvic from any third-party claims, damages, or expenses (including reasonable legal fees) arising from your breach of these Terms, from content you post, or from your interactions with other users, including any tenancy dispute.
This does not apply to the extent the claim arises from our own negligence or breach of these Terms, and nothing in this section requires you to indemnify us for a claim you bring against us.
14. Termination
We may suspend or terminate your account for violation of these Terms. Except where immediate action is necessary to protect users or comply with law, we will tell you what action was taken, which rule it was taken under, how long it lasts, and how to respond.
You may close your account at any time by contacting us at privacy@rentvic.ca. A self-serve account-closure control is planned; until it exists, closure is handled by request. What happens to your information on closure is described in our Privacy Policy — in particular, messages you sent remain visible to the people you sent them to.
Sections that by their nature should survive termination — intellectual property, disclaimers, limitation of liability, indemnification, and dispute resolution — will survive.
15. Dispute resolution and governing law
These Terms are governed by the laws of British Columbia and the federal laws of Canada applicable therein, without regard to conflict-of-law principles.
You agree that any dispute arising out of or relating to these Terms or the Platform will be resolved in the courts located in Victoria, British Columbia, and you and Rentvic each submit to the jurisdiction of those courts. Nothing in this section prevents either party from bringing a claim in the Civil Resolution Tribunal or in Small Claims Court where that forum has jurisdiction.
16. Changes to these Terms
We may update these Terms from time to time. Every version carries a version identifier and a Last updated date, and we keep a record of which version you accepted and when.
If a change is material, we will tell you and ask you to accept the updated Terms before you continue using the Platform. For non-material changes, the updated Terms take effect when published and the Last updated date reflects the revision.
